JOB SUMMARY:

The Data Management Office Supervisor is a highly resourceful and effective team builder and communicator. The Data Management Office (DMO) Supervisor has expertise with using Management Information Systems for outreach and recruitment activities by identifying, analyzing, and interpreting trends or patterns in complex data. This person maintains appropriate databases and acquires data from primary and secondary data sources, and works closely with all career offices to prioritize informational needs and continuously monitors performance. The DMO supervisor works as a partner with his/her manager to oversee operations and to make sure that the office’s activities align with Workforce Solutions mission and core values The DMO supervisor leads, coaches, mentors and monitors staff to ensure they are properly trained in Workforce Solutions policies and procedures and carry out assigned work. Success measures include positive leadership practices that create an environment in which staff deliver quality and performance objectives.

CORE DUTIES AND RESPONSIBILITIES:

  • Understands, directs, trains, and monitors staff performing appropriate and timely verification of eligibility of customers served. Oversees verification of continuing eligibility and employment for customers receiving applicable services in Management Information Systems (MIS)
  • Understands MIS and monitoring of tracking and open services in various systems used by the DMO
  • Monitors financial aid expenditures, obligations, and commitments of each office and identifies trends in spending that may assist Workforce Solutions system in effectively authorizing financial aid
  • Prepares accurate and timely (monthly, quarterly, and annual) financial reports for the agency, career offices, and the Gulf Coast Workforce Board staff, including financial billing, funds management reports, and reconciliation of expenditures to draw requests by fund using various financial databases and systems
  • Projects expenditures and appropriate enrollment level for child care financial aid, and identifies and documents trends in spending and enrollment that may affect projections
  • Ensures that unit staff understands and adheres to policies and procedures as well as contractual obligations including allowable use of each funding source
  • Identifies and documents process improvement opportunities
  • Produces customer service and other performance reports
  • Professionally represents the Agency to career office operators, the Gulf Coast Workforce Board, and Houston-Galveston Area Council (H-GAC) staff
  • Ensures department compliance and takes immediate action to address and resolve career office customer complaints or concerns
  • Performs other duties as may be assigned

 

Job Requirements

MINIMUM EDUCATION:

Bachelor’s degree and a minimum of two years’ experience in the work place 4 years of management experience. Management Information System (MIS) degree highly preferred but not required.
