Job Description

The Support Services Coordinator position is characterized as an integral part of the daily operations of the facilities department as well as the agency. As the key point of contact for the Director of Facilities, the position supports interactions within the office team that sets the tone for a positive effective encounter for our clients and the facilities team. This supports our core values by being responsive to the agency needs and requests in an upbeat energetic, engaging, manner. The position also responds to the ever-changing needs of the agency and facilities department. This individual works respectively with all levels of internal management and staff, as well as outside clients and vendors.


  • Manage and track credit card billing and payment reconciliation, and report missing receipts for management
  • Coordinate and document maintenance, rentals, defensive driving training and certification, and assist with resource access for program’s fleet vehicles
  • Coordinate and schedule safety online training as required for facilities staff
  • Compile cost data for utility payments, and provide immediate communications for service loss to the team and impacted programs, tracking until services are restored
  • Assist with tracking of agency furniture inventory
  • Review RFP/RFQ vendor proposals to verify that they meet contractual guidelines
  • Tracking of agency burglar alarm cause and frequency
  • Issue agency access cards (building and parking garage), alarm codes to new and existing employees, and “Approved Vendor ID Badges”
  • Monitor and manage agency security utilizing security software for access control and alarm history, as well as supporting monitoring of agency building automation
  • Assist with purchasing and filing new/existing project permits
  • Represents the facility department for agency special event planning meetings
  • Manage department and agency-shared PPE inventory
  • Procure appliances and other small equipment as part of project improvement scope
  • Assists with agency disaster support for our facilities as well as our community
  • Assist the Director of Facilities with daily tasks to organize the facility department to support the agency vision by scheduling, communications, project filing, project research, calendar coordination, project construction drawing copies, and meetings
  • As needed, assist with front desk coverage, and use of fleet to support facility operations
  • Other duties may be assigned at the discretion of management
