JOB SUMMARY: 

Provide superior customer service within the BakerRipley weatherization programs. Identifies, qualifies, and manages customers through the weatherization assistance program process. Responsibilities include working with inspectors, contractors and multiple customers receiving weatherization assistance. Enters standard production related information into data bases, Smartsheet, and contract reporting systems. Performs weatherization funder request for database uploads, special project reporting, and weatherization data analysis. Approves invoices for payment, and prepares customer’s files in accordance with funding guidelines. 

CORE DUTIES AND RESPONSIBILITIES:

  • Confirms customer eligibility including obtaining a signed landlord agreement when applicable per program requirements. Creates weatherization referrals from eligible customer applications. Maintains specified inventory level of clients ready to be assigned to inspectors and contractors
  • Maintains Smartsheet and HEM databases and other project tracking tools as required. Creates reports to support the implementation and management of the weatherization programs
  • Reviews the completeness of initial inspectors’ assessments, audits, and work orders and assures that each follow program rules and guidelines based on knowledge of weatherization measures allowed by TDHCA and other funding programs, residential building science basics, and building material knowledge
  • Organize client files; responsible for file maintenance including copying documents, scanning, and index documents into Docuware and Smartsheet
  • Uses Smartsheet to track weatherization status, provide customer status, and manage customer service calls
  • Completes closeout documentation for completed units per program guidelines.
  • Conducts customer satisfaction surveys at key points in Weatherization process and compiles data
  • Performs other administrative duties as assigned

Job Requirements

MINIMUM EDUCATION:

  • High School Diploma
  • Bachelor’s degree or some college experience preferred

YEARS OF EXPERIENCE:

  • 3-4 years’ work experience in office environment

SKILLS:

  • Ability to work in a team environment
  • Ability to prioritize multiple tasks and duties and change focus

COMPUTER PROFICIENCY:

  • Microsoft Outlook, Word, Excel, PowerPoint, and Access
