The supportive services departments work with the organization’s divisions to provide BakerRipley the support to continue building neighborhoods that work.

JOB DESCRIPTION

JOB SUMMARY:

The mailroom associate operates the flow of the Agency’s internal and external mail and package delivery system. Operates data entry devices, verifies data, performs related clerical duties, and/or prepares documentation for data entry by assigning numerical codes to entry items and verifies accuracy. Manages facilities work order system and provides relief coverage for the front desk to ensure that departmental and organizational goals are met.

CORE DUTIES AND RESPONSIBILITIES:

  • Processes agency mail while ensuring: accurate weighing; coding; sorting; affixing postage; properly addressing; and preparing certified/overnight/return receipt mail
  • Processes deliveries and pickups from outside carriers i.e. UPS, FED Ex.
  • Maintains mailroom inventory and orders supplies as needed
  • Maintains mail logs and provides reports monthly to supervisor
  • Ensures proper maintenance of mail equipment and software
  • Maintains mailroom in an organized and clean manner
  • Provides mailing and package assistance to agency staff
  • Provides a variety of clerical duties and other assistance as needed
  • Answers multi-line telephone lines and routes all calls to appropriate staff accurately and in a timely manner
  • Assist with projects and activities as assigned by the Facilities Management team
  • Dispatch and process work orders: Schedule work and provide dispatch support for field manager. Provide follow up and completion status
  • Confer with customers or supervising personnel in order to address questions, problems, and requests for service or equipment
  • Provides backup phone support for the Facilities Services Assistant
  • Other duties may be assigned at the discretion of management

Job Requirements

QUALIFICATIONS/SKILLS

MINIMUM EDUCATION:

  • High School Diploma or GED

YEARS OF EXPERIENCE:

  • One to two years mailroom experience and/or training

CERTIFICATIONS, LICENSES, REGISTRATIONS:

  • Texas Driver’s License

SKILLS:

  • Able to acquire Microsoft skills as necessary (e.g. databases and spreadsheets).
  • Familiarity with the use of office equipment i.e. fax, photocopiers, etc.
  • Excellent verbal communication skills
  • Good written communication skills
  • Good interpersonal skills and customer service
  • Accurate typing skills with a minimum speed of 50wpm

COMPUTER PROFICIENCY:

  • Microsoft Office Suite
