Job Description

The Facilities Admin Assistant position is characterized as an integral part of the daily operations of the facilities department as well as the agency. As the key point of contact for the mailroom and support for facilities services the Facilities Admin Assistant , sets the tone for a positive effective encounter the agency and facilities. This supports our core values by being responsive to the agency needs and requests in an upbeat energetic, engaging, manner. The position also responds to the ever-changing needs of the agency and facilities department.Processes agency mail while ensuring: accurate weighing; coding; sorting; affixing postage; properly addressing; and preparing certified/overnight/return receipt mail.


  • Pick-up and drop off mail at post office
  • Makes scheduled deliveries and pick-up from agency locations.
  • Processes deliveries and pickups from outside carriers i.e.. UPS, FED Ex.
  • Maintains mailroom inventory and orders supplies as needed.
  • Maintains mail logs and provides reports monthly to supervisor.
  • Maintains an accurate record of postage used by each department; monitors machine and requests funds to replenish postage when needed.
  • Ensures proper maintenance of mail equipment and software.
  • Manages copier service requests and supplies for agency copiers.
  • Maintains mailroom in an organized and clean manner.
  • Provides mailing and package assistance to agency staff.
  • Provides a variety of clerical duties and other assistance as needed.
  • Answers multi-line telephone lines and routes all calls to appropriate staff accurately and in a timely manner.
  • Assist with projects and activities as assigned by the Facilities Management team.
  • Tracks and orders break room supplies.
  • Confer with customers or supervising personnel in order to address questions, problems, and requests for copier and mail service or equipment.
  • Provides backup phone support for the Facilities Services Receptionist
  • Other duties may be assigned at the discretion of management.

This positions requires you to possess a valid Driver's License and proof of insurance.
