DIVISION PROFILE

The Support Services departments at BakerRipley work in partnership with all divisions to maintain, operate, and deliver services that help keep our region a place of opportunity for all. 

JOB SUMMARY:

The Administrative Assistant performs a wide range of administrative and office support activities in order to identify, research and resolve technical problems and issues for the IT department. The ideal candidate will possess a wide range of technical competency and communication skills. This position may require occasional after hour and weekend availability for troubleshooting and training purposes.

CORE DUTIES AND RESPONSIBILITIES:

  • Provide technical support to employees on a variety of issues by responding to telephone calls, emails, and "in-office" requests. Log all requests and escalate as necessary, serving as the backup answering service for IT management and help desk
  • Schedule meetings, reserve rooms, record and publish meeting minutes
  • Approve timesheets, assist IT management with review of time-off requests
  • Provide administrative support of IT procurement process (locate cost codes, create purchase requisitions, manage contract term dates, assist IT management with vendor communication, coordinate distribution of purchased items such as cell phones etc.)
  • Help with policy documentation, formal report writing and formatting, liaison with departmental group for policy updates/review
  • Make photocopies, fax documents, deliver materials and perform other clerical functions
  • File papers and documents into appropriate database
  • Assist or prepare correspondence
  • Other duties as assigned

Job Requirements

QUALIFICATIONS/SKILLS

MINIMUM EDUCATION:

  • Associate's degree in a related area and/or a high degree of office administrative and willingness to learn more in IT

YEARS OF EXPERIENCE:

  • 1-2 years of IT experience

SKILLS:

  • Excellent written and verbal communication skills
  • Willingness to advance skill set within the department
  • Ability to prioritize realistic, specific goals and objectives
  • Ability to communicate effectively both to internal and external audience
  • Excellent written and verbal communication skills, strategic thinking and technical skills, and intermediate skills in the use of Microsoft Office computer software applications
  • Extremely organized and capable of handling multiple tasks at one time
  • Ability to work with people in such a manner as to build high morale; to communicate with others in a warm and helpful manner while simultaneously building credibility and rapport both internally and externally

COMPUTER PROFICIENCY:

  • Advanced skill in Microsoft Office Suite Proficient in Windows Operating Systems Desktop Family: Windows 7, 8 and 10
