JOB DESCRIPTION

JOB SUMMARY:

  • The Accounting Support Specialist facilitates operations as well as other assigned administrative assignments for the Controller and Accounting department.

    CORE DUTIES AND RESPONSIBILITIES:
    • Greet visitors, ascertain nature of business, and direct to appropriate person
    • Assist in departmental onboarding (i.e. new hires)
    • Maintain Controller’s calendar and meeting schedule
    • Schedule appointments, maintain department outlook schedules (i.e. meeting appointments, vacations)
    • Maintain schedule and prepare third floor conference rooms
    • Coordinate department activities
    • Compose and type routine correspondence, agendas, and meeting notes
    • Make copies of correspondence or other printed materials
    • File correspondence and other records, maintain inventory of stationary, mailing supplies, office supplies, printer toner, and equipment
    • Assist in the maintenance of the electronic centralized department filing system
    • Process requests for off-site record retention
    • Maintain and stock all photo copy areas
    • Open and route incoming mail to distribute to the proper accounting departments as well as prepare outgoing mail
    • Record all cash receipts into the appropriate database
    • Other general office duties as assigned

Job Requirements

 QUALIFICATIONS/SKILLS

MINIMUM EDUCATION:

Associate’s degree (A.A.) or equivalent from two-year college or technical school; five years related experience and/or training; or equivalent combination of education and experience

YEARS OF EXPERIENCE:

5 Years

CERTIFICATIONS, LICENSES, REGISTRATIONS: SKILLS:

  • Teamwork required
  • Strong computer and data entry skills; accuracy and attention to details
  • Excellent communication skills, both written and verbal
  • Highly organized with the ability to prioritize work to meet deadlines
  • Uphold confidentiality and discretion with all sensitive matters
  • Strong Customer service skills
  • Time management skills required

COMPUTER PROFICIENCY:

Microsoft Office Excel, Word, Adobe and Outlook. Knowledge of Financial Edge, PaperSave and SharePoint is preferred
